A material takeoff is the document that turns measurement into procurement. It starts with the net quantity the building needs, adds the material that will be cut off, lapped over, broken or trimmed away, and converts the result into the units your supplier sells in. The output is a purchase quantity, not a design quantity.

That conversion is where money is made or lost, and it is the step most estimating packages skip. A quantity takeoff services deliverable stops at 4,200 square feet of gypsum board because that is what the walls require. A material takeoff carries that same 4,200 square feet three steps further and lands on 145 sheets of 5/8" Type X - a number a yard can pull and a truck can load.

Step 1

The Net Measured Quantity

Every material takeoff starts from a measured drawing, never from a rule of thumb per square foot. We measure each assembly in place from the architectural, structural and MEP sheets, read the spec section and the schedules for grade and size, and tie every quantity back to a sheet number and a detail callout. Where a drawing contradicts a schedule, or a detail is missing entirely, that line goes on the discrepancy log with a question rather than an assumption - because a guess made at this stage gets multiplied by the waste factor and the package rounding downstream. Step 2

Waste, Laps and Cut Loss

The waste factor is a calculation about geometry, not a percentage you inherit from the last job. A 40-foot wall in 8-foot sheets wastes almost nothing; the same area broken up by six door openings and a stair soffit wastes a great deal. We set the factor per material and per condition, apply it in its own column, and write down the reason.

These are the ranges we start from before adjusting for the actual geometry, the spec and the supplier's stock lengths. Complex layouts, diagonal patterns, tight tolerances and short runs all push the number up; long uninterrupted runs pull it down.

Where the factor moves: laps, cuts, corners and odd geometry

Four conditions account for most of it: laps on sheet and roll goods, cut loss where a stock length does not divide into the run, corner and edge trim on patterned finishes, and breakage on units handled by hand. We call each one out by name in the notes column so you can audit the number instead of trusting it.

How We Document Every Factor We Use

A factor you cannot see is a factor you cannot argue with. Every percentage we apply is written into the workbook as a value in its own cell, next to a plain-English note naming the condition that set it - opening density, hip and valley count, diagonal pattern, bond course. Nothing is buried inside a formula, and nothing is applied globally to a sheet you have not read.

One column for net, one for waste, one for ordered

The three numbers never collapse into one. Net measured is what the drawings show, waste is the stated percentage, ordered is the rounded purchase quantity - and the third is a live formula off the first two. Change the middle cell to your own house factor and the order quantity follows without anybody re-measuring a wall.

Step 3

Conversion to Commercial Purchase Units

This is the step that makes the document orderable. A supplier does not sell square feet of gypsum board or linear feet of conduit - they sell sheets, sticks, bundles, coils, rolls, pallets and tons. We round each grossed-up quantity to the real package the material ships in, and where a cut list would save material we include one.

Sheet Goods and Panels

Gypsum board, sheathing, plywood, rigid insulation, cement board and acoustic panels all convert from area to a whole number of sheets in a stated size. We pick the sheet length that suits the wall height on the drawings - a 9-foot wall in 10-foot board beats the same wall in 8-foot board every time.

Example: 4,200 SF of gypsum board to 145 sheets

4,200 SF net, plus a 10% factor for opening density and cut loss, is 4,620 SF. At 32 SF per 4x8 sheet that is 144.4, rounded up to 145 sheets of 5/8" Type X. The BOM shows all four numbers, so if you change the factor to 7% the sheet count follows.

Sticks, Bundles, Coils and Rolls

Conduit, pipe, base, trim, metal studs, track and reinforcing mesh convert from length to a count of stock lengths, then to the bundle or coil the supplier ships. Wire and cable convert to coil or reel sizes with pull and termination allowance carried separately. For dimensional framing lumber, board feet and stick counts are handled on our lumber takeoff service.

Example: 1,850 LF of conduit to 20 bundles

1,850 LF of 3/4" EMT plus a 5% cut-and-bend factor is 1,943 LF. In 10-foot sticks that is 195 pieces; at 10 sticks per bundle the order rounds to 20 bundles, 200 pieces. The five spare pieces show on the line as rounding, not as waste.

Bulk Materials by Weight and Volume

Reinforcing steel, structural steel, ready-mix concrete, aggregate, asphalt and grout convert to weight or volume - TON, CWT, CY and pounds. Rebar converts through published unit weights per bar size; ready-mix rounds to the truck volume your supplier batches in.

Example: 12,400 LF of #5 rebar to 6.8 TON

#5 bar weighs 1.043 lb per foot, so 12,400 LF is 12,933 lb - 6.47 TON, or 129 CWT. A 5% allowance for laps and stock-length cutting takes the mill order to 6.8 TON, listed alongside the bend list. Full rebar detailing and pricing sit with our concrete estimation service.

What is a material takeoff?

A material takeoff is a purchase document that converts measured drawing quantities into the units a supplier sells in. It takes the net quantity, adds waste for laps, cuts and breakage, and rounds to real stock lengths and package sizes. The result is a bill of materials you can send out as an RFQ or turn straight into a purchase order.

What is the difference between a material takeoff and a quantity takeoff?

A quantity takeoff measures what the building needs; a material takeoff states what you should buy. The quantity takeoff stops at 4,200 square feet of gypsum board. The material takeoff applies the waste factor and converts that into 145 sheets of 5/8" Type X. Same drawings, different question - one is for bidding, the other is for procurement.

How much does a material takeoff cost?

Material takeoffs start at $149 for a single trade package. Price is driven by sheet count and package complexity rather than the contract value of the job, so a small drawing set stays at the low end even on a large project. Multi-trade and recurring work is quoted as a package, and high-volume bidders usually move to the monthly plan.

How fast is a material takeoff?

If your set is missing a schedule or a spec section, we will tell you within the first few hours rather than let the clock run down and hand you assumptions.

How accurate is a material takeoff?

Accuracy depends on the drawings as much as the takeoff. On a complete construction-document set our typical variance runs plus or minus 5-10 percent, and every line is traceable to a sheet and a detail so you can check any number yourself. On schematic or incomplete sets we say so up front and flag the assumptions instead of burying them in a total.

What waste factor do you apply?

It is set per line from the geometry and the spec, not applied as one blanket percentage. Gypsum board typically starts around 5-10% and roofing around 10-15%, but a cut-up hip roof or a diagonal tile layout pushes higher and a long uninterrupted run pulls lower. The factor and the reason both appear on the sheet, in their own columns.

Do you account for stock lengths and standard package sizes?

Yes - that is most of the value. We round every line to the stock length, sheet size, bundle, coil, roll or pallet your supplier actually carries, and we choose the size that minimizes cut loss for the condition on the drawings. Where a cut list would save material, we include one alongside the order quantity.

Do you include material pricing?

No. A material takeoff carries quantities, specs and purchase units - it deliberately stops short of dollars so you keep your own supplier pricing and discount structure. If you want the package priced, our cost estimating service adds unit rates, installation, general conditions and markups on top of the same quantities.

Can you match my supplier's part numbers?

Yes. Send us a catalog, a price book, a past order or an export from your purchasing system and we will map each line to your SKUs or part numbers, in your own column order. If you have a BOM template your yard already works from, we populate that template rather than handing you a new format to reconcile.

Can you take off substitutions and alternates?

Yes. Where the specification names a basis-of-design product and permits equals, we list the alternate beside it with its own purchase unit and quantity so you can price both and choose on lead time or cost. If you are pursuing a formal substitution request, we will run the affected lines a second way and label them clearly.

What format does the material takeoff arrive in?

An unlocked Excel workbook with live formulas, a CSV structured for import into your accounting or ERP system, and a marked-up PDF of the plan set showing where each quantity came from.
